This Privacy Notice explains how Her Health Hub Ltd collects, uses, stores and protects personal data. It applies to personal information processed by or on behalf of Her Health Hub while providing education, consultancy, workplace training, coaching, events, and related wellbeing services. We are committed to protecting your privacy and complying with UK data protection law.

The law

We process personal data in accordance with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, the Human Rights Act 1998 and, where applicable, the Common Law Duty of Confidentiality.

What personal information we collect

We collect personal information such as your name, job title, organisation, email address, telephone number, billing and invoicing information, communication preferences, and any feedback or evaluation information you choose to provide.

In limited circumstances, and only where necessary, we may process special category data. This may include health or wellbeing information that you voluntarily share with us during coaching, workshops or feedback activities, or equality and diversity information collected for anonymised reporting purposes. Special category data is only collected where there is a clear purpose and appropriate safeguards are in place.

Why we need your information

We use your information to deliver our services, communicate with you before, during and after our work together, manage bookings, contracts and invoices, improve our services through feedback and evaluation, and meet our legal, regulatory and contractual obligations.

Lawful basis for processing

We process personal data because it is necessary for the performance of a contract, because it is required to meet a legal obligation, or because it is in our legitimate interests to do so in order to deliver and improve our services. Where we process special category data, we do so with your explicit consent or where it is necessary for health or wellbeing-related purposes connected to our services.

Marketing and communications

With your consent, we may use your name and contact details to share information about services, events or resources that may be of interest to you. You can withdraw your consent at any time by unsubscribing from emails or by contacting hello@herhealthhub.uk. We do not sell personal data and do not use it for third-party marketing.

Confidentiality and security

We take confidentiality seriously and use appropriate technical and organisational measures to protect personal data. Access to information is restricted to authorised individuals, and all staff and associates are subject to confidentiality obligations. Where third parties process data on our behalf, GDPR-compliant agreements are in place.

Data sharing

We only share personal data where it is lawful and necessary to do so. This may include sharing information with professional advisers such as accountants, IT and systems providers, or event platforms and venues where relevant to service delivery. We do not share data for unrelated purposes.

Data storage

Personal data is stored securely within the UK or the European Economic Area. Electronic data is protected through access controls and security measures appropriate to the nature of the information.

How long we keep your data

We keep personal data only for as long as necessary. Client and contract records are normally retained for up to seven years, financial records are kept in line with HMRC requirements, and marketing data is retained until consent is withdrawn.

Your rights

You have rights under data protection law, including the right to access your personal data, request correction of inaccurate information, withdraw consent where applicable, object to processing, request erasure where legally permitted, request data portability, and raise concerns with the Information Commissioner’s Office.

We will respond within one month and may need to verify your identity before releasing information.
